Terms and Conditions

Codegreen AI Hackathon is a competition organised by Earthling Indonesia e.V. and supported by Techbros GmbH. From here on Earthling Indonesia e.V. will be referred to as Organiser. By entering the competition, participants agree to comply with these terms and conditions. 

Eligibility Criteria 

Everyone with a domicile in the Republic of Indonesia, or the European Union, or the United Kingdom, or the European Economic Areas aged over 18 on the 26th of July 2021 can enter Codegreen AI Hackathon 2021. The competition is open without any occupational or nationality restrictions. 

1. Entering the Competition

1.1 Entry is open to individuals working alone or groups of persons working as a team with a maximum of five group members. All members of a team must fit the eligibility criteria outlined above. 

1.2 Participants should register as an individual or as a team by filling in the registration form and submitting their innovative solution in form of a pitch deck with a maximum of 10 slides in the submission form. Both the registration and submission forms can be found at Codegreen AI Hackathon 2021 official website (https://www.codegreen.events).

1.3 The registration for the contest is free of charge.

1.4 An innovative solution is defined as a new or original solution or a more effective solution, which is feasible, relevant, and useful. The solution may be in the forms of social initiative, business plan, research projects, product development, marketing strategies, infrastructure plans, awareness campaign, or teaching initiatives. Participants are only allowed to submit one innovative solution. 

1.5 All innovative solutions must be the original work of the participants. The solutions must not infringe the intellectual property rights of any third party. Participants who incorporate any images, writing, music, or other creative material belonging to someone else must obtain the other party’s permission. By submitting an innovative solution, participants warrant that they have procured the necessary consents, licenses, and other such authorisations from any third parties. Participants may be asked to evidence their ownership of the Idea and should keep dated records of all working materials.

 1.6 All entries and supporting materials must be submitted digitally through the submission form found on the Codegreen AI Hackathon 2021 official website.

1.7 English is the language of communication for Codegreen AI Hackathon 2021. Participants shall submit all documents in English and hold all presentations in English.

1.8 Contact details of winning participants may be passed to sponsors, partners, or Codegreen AI Hackathon 2021 Judges at Organiserss’ discretion, to help promote the winning work, deliver prizes and help with the operational running of the awards. 

1.9 Participants must use the provided pitch deck template to convey their innovative solution. The length of the pitch deck must not exceed ten slides. Participants must upload their pitch deck by Friday, 8th of October 2021 at 23:59 CEST or Saturday, 9th of October 2021 at 04:59 WIB. 

1.10 The Organisers shall confirm the reception of the pitch deck by sending a registration confirmation notice to the Participant’s e-mail address. Upon sending such notice to the Participant, the participation to Codegreen AI Hackathon shall be deemed concluded between the Organisers and the Participant.

1.11 The Organisers may refuse participation in Codegreen AI Hackathon by persons reasonably suspected to have registered for a purpose other than to participate in competition organized as part of Code Green (in particular to recruit employees). In such an event, registration shall be deemed ineffective.

1.12 Participants who qualify for the second round of the shortlist shall submit a maximum 20 minutes long video where they elaborate their proposed solution in further detail. Shortlisted participants should submit the video by Sunday, 31st of October 2021 at 23:59 CEST or Monday, 1st of November 2021 at 04:59 WIB.

2. The Competition

2.1 The subject of Codegreen AI Hackathon will be the creation of solutions related to the presented topics of the event as mentioned in the website.

2.2 Participants have up to three (3) weeks to provide a relevant solution, according to the presented pitch deck at the registration. Participants may complete the task before the designated deadline on the 4th of December 2021.

3. Ownership of Submitted Solutions

3.1 Participants retain ownership of their innovative solution submitted into the contest. 

3.2 Participants agree that, should a sponsor wish to develop or use an innovative solution for commercial purposes, the participant will enter into negotiations with that sponsor before negotiating with any other party concerning the commercialisation of the innovative solution. Entering into a First Negotiation Agreement does not constitute a guarantee that either party will reach a final agreement. In particular, participants should also review the sponsors’ terms and conditions for the relevant terms affecting the right of usage of material. Organisers will act as negotiation mediators. 

4. Judging the Competition

4.1 The Organiser will appoint a jury that consists of three judges who, in the Organiser’s sole discretion, have the appropriate qualifications to judge the work. Innovative solutions will be considered in accordance with the following evaluation criteria: Technical Readiness, Relevance, Impact Factor, Performance.

4.2 The jury will, at its sole discretion, choose five winners of the competition. Decisions of the judges are made by an accumulative grading system. In the event of an identical accumulative score, the decision is made by a simple majority of votes of the panel of judges.

4.3 The decisions of the judges are irrevocable.

4.4 If the Organisers is made aware of any concerns that a solution does not constitute the original work of the entrant, then in the first instance, Organisers will contact the entrant and will ask for copies of any notes or drawings which evidence the entrant’s assertion to be the creator of the work. Where possible, Organisers will consider the evidence gathered and decide whether to allow the innovative solution to remain within the contest or to remove it. Organisers’ decision is final. 

5. Confidentiality

5.1 Participants may receive information including data related to the Hackathon and/or any Competition from the Organiser and/or the Sponsor which the Organiser and/or the Sponsor consider(s) confidential. 

5.2 Each Participant agrees to remain strictly confidential and not to disclose to others outside the Hackathon, without the express written consent of the Sponsor or the Organiser, any information, written or oral, obtained from the Organizer and/or the Sponsor during the Hackathon or in the preparation thereof (hereinafter collectively the “Confidential Information”). Each Participant further agrees to use the Confidential Information only for the Codegreen AI Hackathon. Each Participant shall immediately return all tangible Confidential Information to the Organiser or the Sponsor and destroy all electronic or other Confidential Information upon completion of the Hackathon. 

5.3 The foregoing restrictions shall not apply to any Confidential Information which: 

a. Participant can show was previously known to him/her before receipt from the Organiser or the Sponsor, as the case may be, without breach of an obligation of confidence to any third party; 

b. is now, or hereafter comes into the public domain as, for example, by publications, or is otherwise legally known or available to the public; 

c. is subsequently legally disclosed to Participant by a third party not owing obligations of confidence to Organiser and/or Sponsor; 

d. Participant is obligated to produce as a result of a court order or other valid and legally enforceable mandate, provided that Sponsor has been given notice thereof and an opportunity to waive its rights or to seek a protective order or other appropriate remedies. 

6. Recording of Codegreen AI Hackathon 2021

6.1 The Organisers are entitled to record and distribute the recordings of Codegreen AI Hackathon live events both in audio-visual form of documentation as well as in visual form for documentation, promotion, or advertising.

6.2 The Organisers warn that the course of the Codegreen AI Hackathon will be filmed, photographed, transmitted, and recorded as part of radio, internet, and other public broadcasts according to any current technical method. 

7. Awards

7.1 The rewards of the Codegreen AI Hackathon are as follows: prize money; winning certificate; 30 days developer support; ELANG.AI; AWS Credit. 

7.2 Prizes will be paid out within 28 working days after the day the results are announced. 

7.3 Awards shall be granted only to winning teams.

8. Filing Complaints

8.1 The participant may lodge complaints to the following e-mail address: info@codegreen.events 

8.2 A complaint concerning the proceedings of Codegreen AI Hackathon 2021 may be submitted within 14 days after the award ceremony.

8.3 A complaint lodged after the lapse of the specified period shall not be recognised. 

8.4 Organisers will review any complaints within 21 days after the date of their submission. 

9. General Points

9.1 At the time of registration, participants shall declare that they have read and accepted these terms and conditions. Registration, thus the participation in Codegreen AI Hackathon, shall be subject to acceptance of these terms and conditions. 

9.2 The Organisers reserves the right to change the date of Codegreen AI Hackathon, to suspend, or to cancel the event in whole or in part, which may occur in cases of:

a) occurrence or circumstance beyond the organiser’s control that would prevent the competition from taking place on the dates specified. 

b) fraud, technical or other difficulties, or if the integrity of Codegreen AI Hackathon is compromised, without liability to the participants. 

9.3 Participants in the Code Green shall respect the rights and personal dignity of other Participants. Participants are strictly prohibited from harassing other Participants. Harassment shall be deemed as offensive verbal comments on sex, gender, age, sexual orientation, disability, physical appearance, body size, race, ethnicity or religion, as well as intentional intimidation, persecution, improper physical contact, and unwanted sexual attention. In addition, during the Code Green, it shall be prohibited to use words and symbols commonly recognized as prohibited, including rude language or expressions that may offend religious or ideological feelings, or implying discrimination.

9.4 These terms and conditions are effective starting Monday, 26th of July 2021. The Organisers reserve the right to make changes to these Terms and Conditions, if necessary, from time to time.
